September 2025- Campus Operations Meeting
Invitees: Stampede Campus, Sam Centre, Young Canadians, Stampede Showband, Band of Outriders, Sam Education, Calgary Fiddlers, Calgary Arts Academy, Spiritus, and Encorps.
This meeting is intended to provide a high-level overview of upcoming events and activities, ensuring that everyone is on the same page regarding key updates. While we aim to cover essential topics, we understand that some items may require more detailed discussion. For those instances, we encourage separate conversations outside of this meeting to ensure we can stay focused and respect everyone’s time.
If an issue arises during the meeting that requires deeper discussion, we’ll set it aside for the end of the meeting. At that point, those directly involved can stay to work through the details, while others are free to continue with their day.

Safety Moment
Stampede Dispatch- Remember that Stampede Dispatch is always here to support you, 24/7, 365! If there is ever any sort of emergency, call them at 403-261-0595. It is best to call them for any medical emergencies because they can direct emergency services through the construction, but we also often have Aaron Paramedical on park.
If you ever feel a bit uneasy walking to your car, give them a call and they will either come out and take you to your car, or they will track you on their cameras.
Call Dispatch if you are ever having trouble locking a door, there is a water leak, there is someone a bit suspicious, you see a lot of ice on the walkways, you come across someone in medical distress etc!
Where are we?
We held our meeting in Rotary Learning Lab, which used to be known as Oliver House, between Doherty Hall and the new arena construction, facing Sam Centre.
Rotary Learning Lab (RLL) is where the Stampede Education team works out of, but there is also a meeting space on the main floor.
The space is available to use free-of-charge, when available.
Ideally, students, parent groups, Calgary Arts Academy (CAA) staff, admin from our partner organizations, and Stampede Foundation staff will use this space.
It is intended to be a space to support youth and youth education.

Building Updates:
We have just had TransAlta Performing Arts Studios (TAPAS) repainted in August!
Please ensure that you are making your best efforts to keep the walls scuff free.
Do not tape things to the walls.
The Studio 3 doors have undergone very costly maintenance. Please do not try to pull open the doors if they are locked. To open them, you need to find someone with a key fob.
Rule Reminders:
Our Fall programs and school are all back in session, so it’s the perfect opportunity to go through some of our Campus Guidelines or our “house rules” and ensure that everyone is ready for a fantastic year!

Doors & Keys:
All outside building doors must be locked at all times, UNLESS there is someone monitoring the reception desk area (TAPAS only). Either the front doors can be unlocked OR the interior lobby doors, but not both sets.
If you are in need of additional or new door fobs, please ask Rory or Brenna.
If you lose a fob or key, please let Rory or Brenna know. You are responsible for the cost to replace the key.
Equipment:
If you are moving something from one room to another, please put it back to it’s original location.
Music stands and chairs must be put away on the roll-out racks that we have available.
If you need to leave items or equipment in a building, please let Rory and Brenna know in advance, so that we can help you find a safe and secure location for your items, and let others know why the items are there.
If you are renting equipment from Stampede Foundation, you are responsible for the equipment until it is returned.
Do not unplug cords from the mixers and speakers in the studios.
Room Rules:
Keep common areas of the building clear. These are spaces that are used by everyone who has a booking. These are not extensions of rooms, and your events should not spill out into the common areas. For example, do not sell dance shoes in the main lobby.
Shoes should not be worn in the dance studios (Langille, Studio 1, and Studio 2).
Make sure that you are only in rooms that you have booked.
Pianos need to be covered at the end of each booking. Do not use the pianos as tables.
There is to be no food or drink in any of the studios (with the exception of water).
Do not write on the windows and mirrors, or there may be additional cleaning charges applied to your booking.
Remember to clean and put away any dishes that you use. Nothing should remain in the sink.
If you have moved couches or furniture, be sure to put it back where it came from.
Lockers are for day use only, unless you have been given advance permission from Rory.
Bathrooms and change rooms are not hangout spaces.
First Aid:
First aid kits have been removed from the TAPAS reception desk.
Each group MUST bring their own first aid kit.
There is a first aid kit in the locked office. That is for staff use only.
If you need medical attention that extends beyond a bandage, call Stampede Dispatch.
General Reminders:
Ensure that your group checks the TAPAS Lost and Found at the bottom of the stairs regularly.
Campus staff will dispose of anything and everything left behind in the rooms or Lost and Found a few times per year (winter break, spring break, and at the end of June).
If you notice that something is broken in a room or is not working properly, let Rory or Brenna know ASAP. We cannot fix what we do not know is broken.
If you are the last group in the building (TAPAS, CAA, or Doherty) at the end of the evening, it is your responsibility to ensure that the lights have been turned off and to check and ensure that all outside doors are secure and locked.
If there is something that you would like us to put on the TVs for your group, let Rory know.
Do not make “ugly signs” meaning, do not post handwritten signs on the walls or doors. These will be removed by Campus staff.
If you are in Doherty Hall, double-check the outside doors when you leave, as the door that can be activated using the accessibility button, has a habit of getting stuck and may need to be pulled shut from the outside.
If you are looking to host an event with food in Doherty Hall or Sam Centre, Maisie Eatery is the preferred vendor.
Stampede Campus is a non-smoking area.
Bookings:
All bookings should be submitted through the Booking System on the Campus Portal.
5 days’ notice is required for all booking requests. If you have a booking request that is less than 5 days away, please submit it via the portal AND email both Rory and Brenna.
We require as much notice as possible for CAA booking requests (minimum of 5 days) as CAA needs to schedule and staff their building.
You can enter the building and start setting up for your rental 15 minutes prior to your booking time, and can leave 15 minutes after your booking time ends.
There should be no gaps in bookings, as those booking slots cannot be sold to another group. If you plan to use a room from 1pm-2pm and then from 3pm-4pm, you will be charged for a 1pm-4pm booking.
If you anticipate that there may be bad weather and you are hoping to have a rehearsal or performance outside, book an indoor space as a backup.
Internal and Resident programs require a minimum of 30 days’ notice for Cancellations, external events require 90 days’ notice.
If a cancellation is made within 30 days’ of the booking, the group will be charged 50% of the original rental rate.
If a cancellation is made within 5 business days of the booking, the group will be charged 100% of the original rental rate.
Efforts will be made to resell bookings once cancelled. If we can resell the booking date, there will be no charge to the group who cancelled.
Parking:
The TAPAS parking lot is for participant drop off only.
The Sam Centre lot facing the new arena construction and the CAA lot are first come, first served.
Only park in the CAA lot after 6pm.
Paid parking is available in Lot 11 (Remington Lot) as well as the lots near the Saddledome.
Other Important Notes
There are no significant construction updates that will impact Stampede Campus from now until November.
We are creating a set of guidelines for using Calgary Arts Academy…Stay tuned!
Sam Centre is currently open to the public Tuesday-Sunday 10am-5pm.
Field trips at Sam Centre typically take place Monday, Tuesday, and Wednesday.
Maisie Eatery in Sam Centre is open Monday-Sunday 9am-4:30pm.
