Shared Spaces Agreement
TransAlta Performing Arts Studios
1.0 - Building Entry/Access
1.1 - The TransAlta Performing Arts Studios is located next to public pathways, as such, the Main Entrance Doors MUST remain locked at all times.
1.1.1 - If doors are left unlocked, a representative of the renting organization must be present at or around the reception desk during this time.
1.1.2 - A hex-key to unlock the lower doors is located above north facing doors.
1.2 - From time to time the front vestibule may have separate operating guidelines based on third party venue rentals.
1.3 - All key-fobs requests must be made through an organizations manager/director.
1.3.1 - Key-fobs requests may take up to 14 days to process.
1.4 - Individual key-fob holders are responsible cost of lost fobs.
1.5 - Metal-key holders may be responsible fore re-keying the doors of lost metal-keys.
2.0 - Footwear
2.1 - Upon entry to the venue, all users must remove their shoes.
2.1.1 - If a person is not entering any of the studios, they do not need to take off their shoes (For example, the offices or the reception desk).
2.1.2 - All shoes must be kept in the boot rack provided.
2.1.3 - If someone does not want to take off their shoes, protective shoe covers can be provided. (Stored in photo copy room).
2.2 - If an event requires guests/participants to keep their shoes on; a protective floor covered must be installed over top of the Marley dance floors.
3.0 - Studio Spaces
3.1 - At the conclusion of a booking, the person in charge must reset the Studio to the default configuration.
3.1.1 - Any items moved should be returned.
3.1.2 - Items from others studios must be returned (including music stands and chairs).
3.1.3 - Music stands and chairs must be on racks.
3.2 - Users can not leave any items in the studios, without written permission from CSF.
3.2.1 - CSF is not responsible for damages/theft of any items left in the studio.
3.2.2 - Any items left in the space, must be left in a manner so the space can reasonable be used by other rentals.
3.3 - Users may not go into studios that are not booked for them; even if that space is empty.
3.4 - Users are not permitted to remove any cables/accessories/devices from any of the TV’s/mixers/speakers.
3.5 - As per section 10.0 users who do not properly reset the studio they have rented, may be charged a fee.
3.6 - Please ensure all activities for your booking take place in a booked studio space.
4.0 - Common Areas & Lounges
4.1 - After each use all spaces must be reset to the default configuration.
4.1.1 - This includes couches/tables/chairs/stools/etc....
4.1.2 - Users are not to leave any dishes in the sinks.
4.2 - Lockers are for day use only.
4.3 - Users may not store any equipment without written permission from CSF.
4.3.1 - CSF is not responsible for damages/theft of any items left in the studio.
4.3.2 - Any items left in the space, must be left in a manner so the space can reasonable be used by other rentals.
4.4 - Fridges are for day use only. Any items may be disposed of each night.
4.5 - Users are not permitted to remove any cables/accessories/devices from any of the TV’s/mixers/speakers.
4.6 - As per section 10.0 Users who do not properly reset the space they have rented, may be charged a fee.
4.7 - Please do not use the common areas to execute activities for your booking. (For example, using the hallway as part of your booking)
5.0 - Change Rooms
5.1 - Lockers are for day use only.
5.1.1 - Locks will be removed if left overnight.
5.2 - All bags & personal belongings are to be kept off the floor, and placed in or on top of lockers.
5.3 - CSF is not responsible for any theft/damage/lost items.
5.4 - Participants are not permitted to loiter in the change rooms.
6.0 - Reception Desk
6.1 - The reception desk is a common area for ALL bookings.
6.1.2 - Rentals must work together to accommodate each other, if more than one group requires it at the same time.
6.2 - Campus Residents may leave small items, such as binders, at the desk. These items:
6.2.1 - must be clearly labeled with the organizations name.
6.2.2 - must be removed at the conclusion of the rental period.
6.2.3 - Cannot obstruct any of the permanent items at the desk (Phone/computer/etc...).
7.0 - Lost & Found
7.1 - ALL lost an found items are to be placed in the bins at the bottom of the stairs.
7.2 - CSF is not responsible for damage or theft of lost & found items.
7.3 - Without any warning, all lost and found items may be removed.
8.0 - First Aid Kits
8.1 - For emergencies; there is a first aid kit located at the reception desk.
8.1.2 - This is for emergency use only, and not for day to day use. (such as Band-Aids or icepack).
8.2 - All use of the first aid-kit requires an incident/injury report.
8.3 - Rentals are required to provide their own first aid kits for their programs own operations.
9.0 - Equipment Rentals
9.1 - Youth Campus has equipment that may be rented out to users.
9.2 - Once rented, equipment becomes the responsibility of the rentee.
9.2.1 - Rentals where the replacement cost of items is larger than $10K, may be required to sign a formal rental agreement.
9.3 - If rental equipment is left in Studio spaces, it must not conflict with article 3.2.
9.3.1 - In the event of damage to equipment left in a space, the organization who rented the equipment is responsible for repair/replacement, regardless
9.4 - If requested, Campus staff will setup equipment that has been rented out, so long as the rental location is on-Campus.
9.4.1 - Campus staff will not setup equipment that has been rented out, off-site.
9.4.2 -Campus staff will not setup equipment that does not belong to the Calgary Stampede Foundation.
9.5 - Equipment rentals must be received in writing, at least 5 business days prior to the date needed.
9.5.1 - Request must be sent to: Campus@CalgaryStampede.com.
9.5.2 - Large or complicated rentals may require multiple weeks notice.
9.6 - Every attempt will be made to fulfill last minute requests, but there is no guarantee of fulfillment.
10.0 - Damages and Fees
10.1 - If CSF staff need to reset a space, due to a group not returning it to its original state, a minimum $100 labor charge may be applied to the previous rental.
10.2 - Damages or venue deficiencies must be reported, with photos, immediately.
10.3 - Non functional equipment must be reported immediately.
10.3 - If multiple organizations are on-site, and it is not known who to direct charges to; all on site organizations may be charged.
11.0 - End of Day
11.1 - The final rental each day is responsible for shutting off all lights and sound systems.
11.2 - The final rental of the day must ensure all exterior doors are locked.
12.0 - Required Emergency Procedures
12.1 - All organizations renting spaces at Youth Campus MUST have the following written emergency procedures:

Medical - First Aid & Emergency
Lockdown
COVID-19
12.2 - Organization’s emergency procedures, can not conflict with Article 8.0 - First Aid Kits.
12.3 - Organization’s emergency procedures, can utilize Calgary Stampede Dispatch/Security as part of the plan.
